Rostering

NOTE: Credentials MUST be verified to access the Student Details tab for Rostering.

Prior to electronic test administration and paper/pencil data entry, a roster will need to be completed. In the Student Details section on the Home page, assessors select students for test administration from a comprehensive list of students within the district(s) and school(s) associated with each account. There is a search bar at the top of the page where specific student information can be entered to search for that student. Students can be rostered across multiple accounts for test administration and monitoring purposes. 


If a student does not appear to roster:

  • Check the students' registration information within the district student information system to ensure their SpEd flag is set to 'Y'. Students with SpEd flags set to 'N' will not appear to roster in the ORExt system. If registration information needs updating, this needs to be done at the district level. The ORExt roster syncs with ODE daily, so any updates will load to the ORExt system within 24 hours of any updates through ODE.
  • If a student is registered outside the assessors district/school, the additional district/school will need to be added by a State Admin level user, or the Heldpesk (orextended@k12test.com). For requests, please email the helpdesk with only the student SSID (as email is not secure, please do not send student names via email). 

Select students to roster on the left hand column by clicking in the 'Roster' box. 

Next, using the drop-down menu, select an IDEA Primary eligibility code. Primary IDEA eligibility codes are required for all rostered students. The electronic secure test will not be available without a primary IDEA eligibility code. If applicable, a secondary IDEA eligibility code can be entered from a drop-down menu, otherwise the secondary code will default to [0]Not Applicable. 


An error message will appear if any student(s) are missing a Primary IDEA eligibility code. Those that still need to be selected will appear in red. Student rosters will only save once all Primary IDEA eligibility codes have been selected.

When all IDEA codes have been entered, select 'Roster Students'.


When all information has been selected and rostering is complete, a confirmation screen will appear to confirm selected students.

Blocking

If a parent or guardian does not want their student to participate in an assessment (opt-out, exemption, or decline participation), the user can "block" that assessment during rostering to prevent accidental administration.
